What Is Video Conferencing?
Video conferencing is a term used to describe the method of communication using technology to provide live video and audio links between two or more sites. Meetings are able to be conducted, in real time, between widely separated sites.

Frequently Asked Questions
How do I book a video conference?
As an external user: to book a video conference you will need to complete a "TAFE NSW - New England Institute
Video Conference Booking" form. When you have completed this form, please email the completed form complete with signature to the booking contact

Completed video conference booking forms need to be returned one week prior to the date of the video conference to guarantee availability of video conference facilities. Arrangements (ie booking, organising staff availability etc) for video conferences that are requested less than one week in advance will not proceed until a completed booking form is received.
Can I use the video conferencing facilities after hours?
Regular office hours apply to the availability of the facilities (8.30 am to 4.30 pm Monday to Friday), however the facilities are available after hours by negotiation. To arrange after hours use of video conferencing facilities, please use the contact details given above.
Will someone be available to set up the video conferencing equipment and be available during the conference in case of any difficulties?
An administrator is available at each video conferencing location, during regular office hours (8.30 am to 4.30 pm Monday to Friday) to provide access to the room and the facilities. The administrator will be able to assist you with the basic operation of the Videoconferencing Equipment.
Do I need a point to point or bridge connection?
If the conference is conducted between two sites you do not need a bridge connection. If the conference is conducted between three or more sites, you will need a bridge connection.
How soundproof is the video conference room?
How soundproof the video conference room is will vary from location to location. If you wish to know how soundproof the video conference room is at the location you are booking, please check with Flexilink.
What equipment is available at each video conference location?
Equipment available varies at each location. Please see the table listing the various locations and what equipment is available at each location. [Go To Equipment List]
What happens if I cancel my video conference?
If you decide to cancel your video conference and give more than two days notice prior to the date of your conference, you will still be required to pay the administration fee. If you give less than two days notice, you will be required to pay the administration fee and 100% of the charges, excluding the line charges. To cancel your conference, please contact the booking contact using the details provided above.
Is there a discount for regular usage of video conferencing facilities?
You may be entitled to a discount, depending on how often you use the facility. If you are a Educational, Government, Business or Commercial User, and use the facilities for five hours per month, you may be entitled to a discount of up to 25%. If you use the video conferencing facilities ten hours per month, you may be entitled to a discount of up to 50%.
When do I have to pay for my video conference?
You will receive an invoice for your video conference after the conference has concluded.
